Job Description: Print & Mail Services at Madison College is currently seeking a
Print & Mail Associate to join the team. A key member of Madison College's Print & Mail Services team, primarily responsible for print operations that provides collegewide print and mail services. Supporting printing services, this role involves operating copiers, assisting with duplicating tasks, and ensuring that all printing needs across the college are met efficiently. In addition to print services, the
Print & Mail Associate also supports mail services, including sorting, processing, and ensuring the timely and accurate handling of college mail.
The
Print & Mail Associate also leads student employees within the print services area and reports directly to the Print & Mail Supervisor.
This is a part-time 25-hours-a-week, 52-weeks-a-year position with a flexible working schedule based on operational needs Monday - Friday between 10:00am -3:00pm at Madison Truax Campus.

Essential Responsibilities: - Provide high-quality customer service to the College community by:
- Receiving and distributing mail, packages; and completed print jobs.
- Provide service at the counter.
- Adjusts priorities and deadlines of other jobs to accommodate rush jobs.
- Making deliveries and pickups of mail, small parcels, and packages to selected mail stops throughout the District. Complies with transportation and OSHA regulations regarding the safe handling of hazardous material and heavy objects.
- Provides information concerning postal and college regulations via phone and in-person regarding mail-related activities.
- Complete routine and complex mailing processes, including:
- Preparing outgoing mail shipments, including USPS permit mailings, UPS, and FedEx shipments to domestic and international recipients.
- Entering shipping and information into computerized inventory and database management systems.
- Classifying and processing outgoing mail for all college operations for accurate and timely dispatch.
- Operating and maintaining college-owned folder/inserting equipment for preparing large and time-sensitive mailings.
- Performing routine maintenance on mailing equipment. Arranges for repairs from commercial sources if necessary.
- Maintaining mailroom supplies.
- Complete routine and complex printing processes, including:
- Coordinates jobs large and small, simple to complex.
- Operation of multiple Digital Printers, software controllers, and various types of finishing equipment. Maintains and troubleshoots all devices. Includes copiers available to self-serve customers.
- Consults with Graphics Designer and Bookstore staff on upcoming projects.
- Electronic file maintenance of the bookstore resale items.
- Manage FileMaker Pro and Argos databases. Perform data entry into systems. Process monthly invoices for finance department.
- Works closely within and outside the department to ensure a high-quality experience:
- Coordinate with mail staff to monitor large, high volume print jobs of college mailings and ensure accurate and timely job completion, including quality control, maintenance, and troubleshooting.
- Operate various copiers; perform preventative maintenance tasks necessary to maintain equipment in peak operating condition; diagnose fault codes, perform repair procedures or manage calls for service.
- Work with equipment: binding, cutting, drilling, and collating to complete the production process.
- Cross-trains with Receiving employees to serve as a backup as needed.
- May assist, as requested, Receiving with the delivery of packages.
- Performs record-keeping, including computerized cost center charge-back, system, delivery log, chart of accounts, and reconciles college account ledger with printing transaction reports.
- Provide direction, guidance, and monitor the work of student employees.
- Maintains current knowledge of U.S. Postal and other delivery service regulations.
- Maintains a commitment to the college mission, vision and values.
- Other duties as defined by department, college, or officials.
Knowledge, Skills & Abilities: - Skill in communicating effectively and professionally, both orally and in writing.
- Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
- Ability to operate a motor vehicle; possess valid driver's license.
- Ability to communicate effectively in oral expression; ability to give oral and written instructions in a precise and understandable manner.
- Ability to deal tactfully with others and establish harmonious working relationships.
- Ability to lift and carry heavy objects.
- Ability to maintain accurate records.
- Experience working accurately with names, numbers, codes, and/or symbols.
Minimum Qualifications - One (1) year post-secondary education or equivalent working experience. * Experience used as an equivalent of an educational requirement is in addition to any experience required by the position
- One (1) year of work experience directly related to the skills required for successfully performing the duties of this position.
- Valid Wisconsin Drivers License
